Engaging with the Patient as a Virtual Admin and Communicating with the Virtual Front Desk

Virtual Assistant (Bianca): Hi Nancy, how are you today?.

Nancy: Hi I’m fine how are you?.

Virtual Assistant (Bianca) I’m great, I’m great. Well, It’s already Thursday. I’m looking forward for the weekend do you have any plans for the weekend?.

Nancy: Hopefully we can be with some family members.

Virtual Assistant (Bianca): Oh, that’s great, that’s great. So you’re going to be the one of our patient to our clinic, Were you able to, yes, so I assume that you were able to fill out the form, our new patient form, and send it over to our office email address?

Nancy: Yes I submitted that last night.

Virtual Assistant (Bianca): So normally if you’re a new patient to our clinic, what the doctor will do is of course do an x-ray and then after the x-ray she will be able to go over the examination and then from there the doctor will help you with your treatment planning.

Nancy: I have new insurance and my Dr. Jones, my previous dentistry sent over my x-rays.

Virtual Assistant (Bianca): Oh, so Dr. Jones was able to send the x-ray? Correct. OK, that’s great. Let me go to the front desk, talk to Phoebe, and then check if the x-rays are already uploaded. I’ll be right back, OK?

Nancy: Was my insurance updated also?

Virtual Assistant (Bianca): Oh, yeah, sure. I’ll definitely check with the insurance as well, information on your insurance.

Nancy: Thank you.

Virtual Assistant (Bianca): OK. Thank you Nancy. I’ll be right back.

Virtual Assistant (Bianca): Hi, Ms. Phoebe.

Virtual Assistant (Phoebe): Hello.

Virtual Assistant (Phoebe): Hi, Patient Nancy from Room 2 has already been sent the email or the x-ray to our office email address.

Virtual Assistant: Okay, thank you. Thank you, Ms. Phoebe. And by the way, Are we able to check the name of her insurance on file? She’s asking that as well, so that we would be able to let her know the information on her insurance.

Virtual Assistant (Phoebe): What I have on file is Delta Dental under her name. Okay, thank you. Thank you, Ms. Phoebe. I’ll just go talk to the patient now.

Virtual Assistant (Bianca): You’re welcome, Bianca. Thank you.
